Title: The pitch - application process
Post by: Phrubruh on October 30, 2006, 04:59 PM
Here is a chance for you english majors out there and help give us a shot of getting a free booth. In 500 words of less write up a description and sales pitch for the UGP. I've already sent in one but lets make sure my feeble writting attempts don't doom our chances of participating.

Here is what they want.

Have an idea for a program or an activity? Do you have a special skill, and are willing to volunteer to share it with other fans? Please send a brief initial proposal (limit 500 words) to fanevents@starwars.com, or mail it to Star Wars Celebration IV; Attn: Mary Franklin; Lucasfilm Ltd., PO Box 29901, San Francisco, CA 94129. Include your email address and contact information. Briefly summarize what you would do, time and materials needed, number of people involved, and how the audience could participate, if at all. Initial proposals will be considered for final proposals, and do not guarantee scheduling during Celebration IV.

Please send it in to me before sending it to Mary Franklin.

Would your Star Wars Fan group like to share their experience with other fans at Celebration IV? Lucasfilm and their convention partner Gen Con, LLC plan to set aside a limited number of spaces for selected fan clubs. Talk with other fans about what your club does and recruit new members! The application process for Fan Club tables at Celebration IV will start November 17, 2006. Look for requirements and application instructions then at www.starwars.com/community/event/celebration.

It would be a really good thing to have the web site initally done by Nov. 17th.

i sent a letter idea via pm and gave a few other ideas at the bottom. phurby said that i should bring one of them up here to see what everyone thought so here goes....

in the decription of the "letter body" phurby posted, it asks for you to tell what service your booth would be providing the fans. while our main effort is to give the a site to see and show them our hobby and support for starwars, i was thinking that we could have a raffle at the end of the convention. we could hand out tickets, or even sale them if you guys wanted and mabey give the proceeds to charitey or somthing, and at the end of the convention have a drawing. pick 10 or so people as winners and those people can pick a piece from the dio to take home with them. we could draw say 5 tickets for just a figure or 2, 3 tickets for a figure & vehicle and the last 2 could be for a building, pices of the landscape, figures or what ever they wanted.

we couls also do a set couple of prizes, like have a display of a couple custom figures made by some of our customizers, some real wow customs, and have a seperat drawinf for those.

this seems to me to be a selling point for the letter to get a "free booth". not only are we giving the fans a site to see and an introduction to our customizing communitiy, but we are providing a fun event for the fans to participate in and possibly win somthing and if we did decide to charge for the raffle tickets, even $1.00, and give it to chariety, that would be another great selling point for us inthis letter.

plus we need to figure out what to do with the entire set up after the convetion any how!

so what do youguys think??? :)

Jedistyle - I think that the raffle is a good idea.  However, there may be pieces of the booth that people would want to "protect" for whatever reason.  If we do the raffle idea, I think we should set aside pieces of the diorama that could be given away (or specific figures).

My suggestion is whatever doesn't arrive with return postage gets raffeled/ebayed off at the end. Anything that still remains going into the dumpster.

I like the raffle idea myself. It's very doubtful that I will ewant to keep anything I give yto the project. Pretty much everything Im making is a donation to do with what thou will.

i think what phurby suggested should be the standard.

-if you want your work back, you must include packaging and money to send it back to you.

-otherwise all contibutions are considered donations and will be raffled off or ebayed or whatever the group leaders decide to do with them.

that works for me! :)

Here is the letter I designed by combining multiple letters that I received. I want to thank everyone for this effort. Please let me know what you think and what I should change to make it sound better.

The Celebration IV convention is an opportunity for the FANS of the Star Wars Universe to come together and share in their love for this experience. We are a group of enthusiastic Star Wars fans dedicated to a niche area of the collecting – Customizing figures and toys. Our purpose is to expand the vision set out by George Lucas by creating all new characters, worlds, storylines, photo-novels and dioramas.  You will never find a more creative hive of fans anywhere!

For nearly a year, this group of diehard fans around the world, with the help of several Star Wars fan site forums like JediDefender.com, YakFace.com & FFURG.com, have joined together to commit many hours and resources to create a memorable customizing experience for Celebration IV - The Ultimate Group Project.  Through extensive research and planning, we are finally close to making this dream a reality!

The goal of this project is to create an entire fan fictional Star Wars World using custom action figures and realistic environments (“dioramas”) designed in the 4” scale. This project is being designed to a scale that would accommodate a full fan booth (10x20 or larger). It will be 90% pre-constructed by our customizing team in advance of the Celebration IV convention. Our booth would be utilized primarily as a display of the creative nature of Star Wars fans. The diorama will include a large cityscape under the control of the Empire complete with a watchtower and security & detention buildings. The city will hold shops, streets, homes, cantina, spaceport and a droid junk yard. Outside the city will be a canyon-like environment leading up to a mountain with a hidden rebel base inside.

It is our goal to encourage enthusiasm and excitement for our niche hobby and provide an amazing display piece for Star Wars fans of all ages to behold. During Celebration IV, we will be raffling off several pieces of the diorama to Star Wars fans in attendance for free. We will also be auctioning off remaining pieces with the proceeds going to charity.

We are happy to announce that we now have a website to showcase this project – http://theultimategroupproject.t-j-p.net (http://theultimategroupproject.t-j-p.net). With your support to reserve a fan booth space to display the project, we can reveal the finished diorama to Star Wars fans around the world!  We are looking forward to working with you in order to achieve the goal of showcasing an entire Star Wars world to fans everywhere.

Sincerely Yours,

Paul Hruby
Project Leader

Ok. This is the paper work I need to get together. It looks like fan booths are only 10x10 so lets plan on this size. Chewie and I need to get this stuff together by the end of the year. We won't know if we are accepted until the end of January.

Guidelines for Fan Club Participation at Celebration IV

There will be a limited number of free fan club table spaces available at Celebration IV for unofficial, local and regional fan clubs and similar fan organizations. These tables will allow the clubs to promote their organizations to other Star Wars fans, and to act as a central location for club activities at Celebration.

Clubs that qualify will be supplied with an 8’ table and two chairs, and a space approximately 10’ wide by 10’ deep. Clubs will be asked to make specific arrangements with the facility or the official decorator for additional utilities or other equipment at the prevailing rate. The fan group table location is yet to be determined, but likely will be in one of the large exhibit halls in combination with other fan-sponsored displays and actIVities, in an area called the Fan Fair Exhibit Hall.

Fan group tables must be staffed by at least one person who represents the club at all times during the hours that the hall is open. The tentative hours for the Fan Fair Exhibit Hall during Celebration IV are:
Thursday, May 24 12:00 PM – 8:00 PM
Friday, May 25 10:00 AM – 7:00 PM
Saturday, May 26 10:00 AM – 7:00 PM
Sunday, May 27 10:00 AM – 7:00 PM
Monday, May 28 10:00 AM – 4:00 PM

No club will be allowed to sell merchandise or services at their table. Clubs are welcome, however, to purchase booths in the Celebration Exhibit Hall if they choose to sell merchandise. To reserve a booth in the Exhibit Hall contact Megan Culver at megan@gencon.com.

Fan clubs wishing to participate with a Star Wars Celebration IV fan club table must turn in an application packet by December 31, 2006 that includes:

Names and contact information of club leaders, from two to four individuals.
Fan Club resume (see resume requirements below)
Written plan and description of what will be offered at the Celebration IV fan club table or area
Samples of all literature and items that will be given away, for approval
Images of all graphics that will be used in the booth, for approval
Fan club resumes must include:

Name of club and full contact information. There must be at least one telephone number in addition to email or Web addresses.
Description of club focus and priorities
Brief outline of previous projects and activities
List of current projects and activities
Description of club structure
Approximate membership number
At least one personal or business reference for each individual listed as a club leader
What we look for when considering fan club applications:

Involvement and positive influence in the Star Wars fan community
Quality of involvement per fan club member, not simply quantity of members
Originality of club purpose
Exhibiting ideas and plans – that you will add to the Celebration IV experience for your fellow fans in some way.
Mail application packets to:
Mary Franklin
Lucasfilm
PO Box 29901
San Francisco, CA 94129
Packets must be received by December 31, 2006 for consideration. Clubs will be notified by January 31, 2007 on whether or not their application was accepted.

*Fan groups with ideas for fan-sponsored activities and programming, who are willing to volunteer their time to share with other fans, can submit their ideas, too! Please send a brief initial proposal (limit 500 words) to fanevents@starwars.com, or mail it to Mary Franklin; Lucasfilm Ltd., PO Box 29901, San Francisco, CA 94129. Include your email address and contact information. Briefly summarize what you would do, time, budget, and materials needed, number of people involved, and how the audience could participate, if at all. Initial proposals will be considered for final proposals, and do not guarantee scheduling during Celebration IV.[\b]

whoa.

This should be fun! ;D

So, uh, what's our "Fan Club"? The entirety of Customizing?  Cause otherwise, what do we list as previous activities?

And once again, I gotta say: the fact that our project (and hobby) includes participants from different countries might be a good selling point for us....

We are kind of like scientologists. Everyone is a member whether they know it or not.  :P

Actually the secretaries have a our mailing list. That is the list I'm using for membership records. Previous activities are the last 13 group projects and Chewie's Customizing Challanges.

I think that is a very good idea.  I think we should also put a spotlight on the website where we take the best of the best from each monthly challenge (for those that are participating) to show off the skills.  Obviously, we don't have a lot of the diorama built but it can certainly show what we are capable of!

Just some past experience on running a booth like that, that you might find helpful anyway...  The booth is small.  Maybe smaller than you're even thinking.  It was tough (to say the least) for the FFURG staff to keep their spot organized, it was cramped since we had a lot of volunteering and things going on...  It was also difficult to set up (which I and Doug Schroeder did the night before).  It's a small space with not a lot of room to work...  Just to keep that in mind.

Plus it was very VERY hectic and busy for the FFURG table all week/weekend.  WE had tons of people coming up daily, we had tons of people coming for the demostrations and things...  And with everything we had on display, I gotta say that display cabinets we had there were REALLY helpful and protected the displayed items quite well from kids, table bumps, and the like...

HOpe that's some helpful tips to the crew running this.  Ryan's surely able to give some of his experiences too since he helped run the FFURG table a lot of the show last year.  There were a number of unexpected circumstances, lemme tell ya.

He wouldnt answer his AIM all that day, and I have been super busy with Projects at school. If he logs on today I can get a day up by tonight, but if hes not on I cant get a hold of him and then i cant ge a mutual date and time

Yah, I think is going to be very tight. We will probably have to be standing there all day long outside the booth. I'll draw up a booth layout in visio. Please let me know if that looks anywhere near feasible.
Title: Re: The pitch - application process
Post by: jedistyle on November 27, 2006, 11:31 PM
so where do you guys think that puts us a far as actual space for the dio?
Title: Re: The pitch - application process
Post by: BrentS on November 28, 2006, 10:06 AM
The other thing to keep in mind, there is a chance that we'll have an "inside" booth, that is one in between two other booths.  That means that the only place we could possibly stand is in front (or potentially behind).  I think this part needs to be very carefully planned.
Title: Re: The pitch - application process
Post by: PenDragon on November 28, 2006, 03:19 PM
We'll need tiny flags, on spikes. We'll just annex other booths as we go. Claiming them in the name of the UGP ;)

Seriously tho, how are we doing? Any chats coming up? New info? Decisions? etc?
Title: Re: The pitch - application process
Post by: Jesse James on November 28, 2006, 06:21 PM
I'm going to bet the hall set up matches the one at C3, so I wouldn't count on being stuck between tables, but you're right Brent that it's something to have a contingency plan in place...  What I'd do if I may suggest it, have some painted scenic backgrounds to hang behind the diorama, and have extras incase you've got 3 walls behind you instead of just 2.

For FFURG's booth, everyone had a corner...  So you had 2 open spaces and 2 "walls" behind your area.

Just a thought you guys can consider for either format...  I'd doubt you are between 2 other tables, but one never knows.
