After playing with most of the figures you guys have sent I've noticed that some of them will not stand on their own without a base. Any suggestions on how to secure these figures to the board? I'm thinking poster tack or even a small dot of krazy glue.

I've received an email from Mary Franklin about our booth and what to expect during C4. As you can see, we are in some pretty good company. Maybe we can be placed next to the "official fan club president" Dustin Roberts!  ;)


Thank you, all of you, for forging ahead with your Fan Club Tables at Celebration IV, even though I have been extremely slow at getting back to you with information. I apologize. You are all working really hard to help make this Celebration an outstanding fan experience, and I truly appreciate it. I’m so glad you’re part of our Fan Fair Hall (Hall G), which is now bigger and better than ever before.


There’s quite a bit of information in this email, so please read carefully and make sure you get the details. I promise I’ll respond if you have questions!

·       Please check the columns of names below to make sure I have the correct two contacts and correct emails for your group.

·       You’ll see I’m missing some email addresses. Please send these. Thanks!

·       By this Friday, May 4, please get me the names (many of you have already, thanks!) of the two people who will be picking up associate badges for your group.

·       I’ll pass those names on to Gen Con, and those two people will be able to:

o       Order services for your booth, like extra electric, internet, carpet, or other things you want to pay for.

o       Arrange with the Gen Con staff for loading in items for your booth. Gen Con has generously offered to help you get your items in by covering drayage. Unless you decide to bring in a semi truck full of give-aways!

o       Trade in your two four-day passes for associate badges at the Exhibitor Services counter in the South Hall.

§       Associate badges will get you in to the Convention Center early, on set up days, and into Hall G an hour before and after everyone else on show days.

§       The Associate badges don’t have names, so you can trade them with members of your group if you are trading booth duties.

§       The Associate badges are good on Fan Club Members-only day.


Here’s what Gen Con is providing free for your booths:

§       10’ x 10 foot floor space in the Fan Fair Hall (hall G)

§       Drape backdrop and side walls

§       1 8’ table

§       2 chairs

§       1 wastebasket

§       1 standard electric outlet. You can plug in your computer and a screen and standard electrical things. If you want to plug in a clothes dryer you’ll need to order extra electric.

§       Reasonable drayage. If you make arrangements with Gen Con, or if you can carry all your things in without a cart, you won’t have to pay drayage (labor for moving materials)


Those of you who need to order more materials, please drop me an email privately and I’ll hook you up with Gen Con.

Fan Fair Hall Hours (there must be at least one representative of your club or group in your booth all hours the show is open):

                Tuesday, May 22 9am – 8pm

                Wednesday, May 23       9am – 8pm

                Thursday, May 24        9am – 12 noon

        Show Hours:

                Thursday, May 24        12 noon – 8pm

                Friday – Sunday 10am – 7pm

                Monday, May 28  10am – 4pm

You are not allowed to tear down early on Monday. Clubs and all exhibitors must stay up until 4pm.


Approvals:

        Anything you are going to give away, hang, post, or display in your booth needs to be approved by me. I have done quite a few approvals for this group already, which is great. Some cool stuff!

Celebration IV - Ultimate Group Project / C4 Activity Planning

Do you guys have any items for activities or get togethers you would like to do during C4? I'd like to have at least one lunch or dinner planned during the show for everyone that participated. Any ideas where? Maybe the Pantry?

I took a few hours today to take pictures of the items that I've received. For the most part everthing arrived in great shape. You can see from the pictures in this thread what we have and what kinds of things we need still need or need more of.

Currently I'd say we are lacking on imperial troops and buildings. But keep everthing coming. I'll keep posting new pictures as soon as packages arrive.

I've asked jedistyle to look into getting us a booth banner. I think it needs to be something very simple such as just the name and web site address. LFL will be more likely to approve it if it is simple. However, they did approve the original web site banner. PenDragon, if you can get that original picture to jedistyle maybe he can get it turned into a banner. We don't have much money to spend so the simpler, the better and cheaper. If worst comes to worst, I'll print out a large banner.

Celebration IV - Ultimate Group Project / Leadership changes

I would like to annouce some changes to the leadership of the Ultimate Group Project. We've decided to have Greg Glassow (glassman6) take over the role of custom figures and vehicle leadership from Scott (darth_ennis) for the remainder of the project.

Also, we've decided to have Erik (jedistyle) take over the role as UGP secretary from Adam (smartpants and clonecommander1). He will be sending out a newsletter soon and will be refreshing our email list. If you are not on the email list or don't remember if you are, please pm him.

I want to thank Scott and Adam for their hard work over the past year. Without their contributions we would never be were we are today. Thank you guys very much for your work and hope to have some new customs from you for the project. I hope to see you all at C4.

If you have completed you assignments or have completed a number of figures, please start sending them to me. I need to start cataloging this stuff so I don't get overwhelmed with things on the last day in May.

As of this point it has not been decided where the phyiscal diorama will be placed. However, I do need to start getting volunteers together to handle diorama duty at C4. This will entail standing at the diorama, talking to people looking at it, running contests, handing out any lit we have and making sure that nothing is touched. There is a possibility of free exhibitor passes to those that can work the most but that is still to be determined.

If you are willing to help, please sign up here. Please tell me the days and hours your would like to work and how flexible you are on these hours. Please bare in mind that we do need coverage no matter where the diorama is physically placed at C4. If not enough coverage is met, we may need to cancel the project.

Today is Feb 14th. C4 is exactly 99 days 3 hours 33 minutes and 30 seconds :P away as I write this post. In order to have something to display I'm setting up these assignments and due dates. The diorama will be displayed in Frank's booth on a 9x6 table. The diorama will be 2/3rds city 1/3 country side. The LFL booth will be either not used or given to another group such as Kris's swstartours.net for their use. Frank could use it for overflow if need be.

The majority of the work needs to be completed and mailed to me by May 1st. I will store all dioramas, figures and ships. Please send them all to me. Please include in the package a check or cash for return postage. Any items submitted without return postage will not be returned. We will have additional rules about what documentation to include with the package (such as grid number) soon.

Since Chewie is our production leader and has very little time left to him to work on the project, his assignment is to oversee the entire production. He has complete control over all aspects on the project. If you have a question on how to proceed, he says final say.

Glassman needs to draw out a final version of the diorama gridded to a 9x6 table. Each building needs to be defined and named. Each item is also to be sectioned off and turned into a laundry list of projects. This gridded out picture and laundry list is due March 1st. Glassman needs to create a backdrop picture that will span the length of the table. This will give us a feeling of depth thru forced prespective. This should be completed by May 1st.

Chewie and Ryan need to post reminder 'ads' starting today on their respective web site front pages once a week to keep people aware of the project.  Chewie and Ryan will split up the Glassman's grid among participants. Deadlines on all diorama projects is May 1st. Chewie and Ryan can make the deadline sooner at their own descression. Whatever they say goes and is not up to debate.

Darth Ennis needs to start a campain on getting as many figures and ships mailed to me as he can. He needs to start contacting people at as many different sites as possible for donations. He should have a number of thread projects going on in parallel. Some examples would be droids, natives, off worlders and imperials. All figures and ships must be completed and mailed to me by May 1st.

Pendragon will continue to work on the web site by putting together the picture gallery and documenting the project on the site with news. He should post Smartys newletters and other announcements.

Smarty needs to have a newsletter sent out each week (even if it is the same content in the newsletter) to as many customizers he can get email for. He needs to go to different customizing sites on the web and raise awareness of the project with lots of new theads. Basically I need him to be as annoying as possible to the star wars customzing hobby as possible in order to make sure that EVERYONE knows about this project and is sending in at least one thing. This has to be done all the way up the c4.

I think this pretty much covers things. I will monitor the project and watch the progress. If I feel that things are not progressing at an acceptable rate, I'll discuss with the leaders in private whether to shutdown project. I will post the final decision.
